Privacy Policy

This policy explains what personal information we collect when you use titledeed.ae, why we collect it, who we share it with, and what rights you have over it.

1. Who we are

titledeed.ae is operated by Cendale Documents Clearing Services FZCO, Trade Licence 78065, Dubai, United Arab Emirates. We are the controller of the personal information described in this policy.

2. What we collect

To review your documents and prepare your case, we collect:

Identity documents — Emirates ID, passport, visa page, and, for companies, trade licences, incorporation documents and signatory identification.
Property documents — title deeds, Oqood certificates, sale and purchase agreements, mortgage and settlement letters, NOCs, plans, survey reports and related paperwork.
Contact details — your name, email address and mobile number.
Case information — the property details and the facts of your matter, including anything you tell us in correspondence.
Payment information — processed by our payment provider. We do not store your full card number.
Technical information — IP address, browser type and pages visited, collected through standard web analytics.

3. Why we collect it

To review your documents and identify the correct route for your case.
To prepare, complete and submit applications and files to the relevant authority or trustee.
To contact you about your case and to send you your outcome.
To take payment and issue a tax invoice.
To comply with our legal, licensing, anti-money-laundering and tax obligations in the UAE.
We do not use your documents or your case information for marketing.

4. Who we share it with

Government authorities and trustees — the Dubai Land Department, Dubai Municipality, registration trustee centres and other relevant bodies, where your case requires a submission to them.
Our payment processor — to take payment.
Our hosting and IT providers — who host the website and our systems.
Legal translators and surveyors — only where your case requires certified translation or a survey, and only the documents needed for that step.
Authorities and regulators — where we are legally required to disclose.
We do not sell personal information. We do not share your documents with any party for advertising, profiling or resale.

5. Where we store it

Your information is stored on systems hosted in the UAE region where available, and otherwise with reputable providers that apply appropriate technical and organisational safeguards. Access is limited to the members of our team working on your case.

6. How long we keep it

We retain case records and the associated documents for the period required by UAE tax and licensing law — generally five years from the end of the relevant tax period — and then delete or anonymise them. Where a longer period is required by law or by an ongoing matter, we retain them for that period only.

7. Your rights

You may ask us to give you a copy of the personal information we hold about you, to correct it if it is wrong, or to delete it where we are not required to keep it. You may also withdraw your consent to non-essential processing at any time. Write to [email protected] and we will respond within a reasonable period.

Note that we cannot delete information we are legally required to retain, and we cannot retract a submission already made to a government authority.
